Inner West Gymnastics respects your privacy and is committed to protecting the personal information entrusted to us.

This Privacy Policy explains how Inner West Gymnastics ("we", "us" or "the Club") collects, uses, stores and discloses personal information. It applies to participants, parents and guardians, staff, volunteers, contractors, visitors and anyone who interacts with our services.

We handle personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles and other applicable child safety, sporting and regulatory requirements.

The information we collect depends on your relationship with Inner West Gymnastics and the services you use.

 
Participant and family information

We may collect:

  • Participant names and dates of birth

  • Parent or guardian names and contact details

  • Residential addresses

  • Emergency contact details

  • Health information, allergies, injuries and medical action plans

  • Attendance, enrolment and membership information

  • Gymnastics progress and program participation

  • Photographs and videos, subject to applicable consent and opt-out preferences

 
Staff, volunteer and contractor information

  • Working With Children Check and police check information

  • Visa and work-right information

  • Tax File Numbers, bank details and superannuation information

Payments may be processed through secure third-party payment providers. Inner West Gymnastics does not generally retain complete credit card or bank account credentials where these are held securely by the relevant provider.

Health information may be shared with coaches, staff members, emergency services or medical providers where reasonably necessary to protect a participant's health or safety.

We may disclose personal information to organisations that assist us in operating the Club and delivering our services, including:

  • Gymnastics NSW and Gymnastics Australia

  • Insurers, where relevant to an incident or claim

  • Emergency services and medical providers

  • Enrolment, membership and customer management platforms

  • Email, communications and marketing platforms

  • Website hosting and technology providers

  • Cloud storage and IT support providers

  • Professional advisers and regulatory authorities

  • Government or law enforcement bodies where required or authorised by law

 

We only disclose information that is reasonably necessary for the relevant purpose.

Inner West Gymnastics does not sell personal information.

6. Photographs, video and media

Photographs and video may be captured during classes, events, competitions or other Club activities.

Photos and videos used for Club communications or promotional purposes are managed in accordance with applicable consent and opt-out arrangements.

Training videos used for coaching feedback are used for coaching purposes and are not intended to be stored permanently.

Group photos or background captures may appear in Club communications or marketing where permitted by the Club's consent arrangements.

Direct-use identifiable images for advertising or promotional purposes require appropriate consent.

Families may contact us to discuss or update their media preferences.

7. CCTV

CCTV operates in designated areas of the Inner West Gymnastics facility for safety, security, safeguarding, incident review and property protection purposes.

CCTV footage may capture participants, parents and guardians, staff, volunteers, contractors and visitors while they are on Club premises.

CCTV footage is retained for a limited period in accordance with the Club's operational, safety, safeguarding and legal requirements. Relevant footage may be exported and retained separately where required for an authorised purpose.

Access to CCTV footage is restricted to authorised persons and footage must not be accessed, copied, distributed or disclosed except for an authorised purpose.

Signage is displayed to notify individuals of CCTV surveillance.

Where surveillance equipment has audio-recording capability, additional notification and applicable legal requirements relating to audio recording must be observed.

8. Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

These measures may include:

  • Access controls based on staff roles and responsibilities

  • Secure cloud storage and third-party platforms

No electronic system is completely secure. However, we regularly review our practices and take reasonable measures to protect the information we hold.

13. Retention of information

We retain personal information only for as long as reasonably necessary to provide our services and meet our legal, child safety, employment, insurance and record keeping obligations.

Retention periods differ depending on the type of record. Certain records may be retained for at least seven years or for a longer period where required by law, regulation, child safety requirements, insurance obligations or an active legal matter.

CCTV footage is retained only for as long as reasonably necessary for safety, security, safeguarding, incident management and other legitimate Club purposes. Relevant footage may be exported and retained separately where required in connection with an incident, complaint, safeguarding matter, investigation, insurance matter or legal requirement.

When information is no longer required, we take reasonable steps to securely destroy it or permanently de-identify it.

14. Accessing or correcting your information

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, incomplete or out of date.

Requests should be submitted in writing using the contact details below. We may ask you to verify your identity before processing the request.

In some circumstances, the law may allow or require us to refuse access to particular information. Where appropriate, we will explain the reason for the refusal.

You may also ask us to delete information. Whether information can be deleted will depend on our legal, regulatory, child safety, insurance and record retention obligations.
